PIM vs. MAM: What is the difference?

A PIM system manages structured product information such as features, variants, descriptions, and classifications. A MAM system manages digital media such as product images, videos, graphics, and documents. Companies need both when product data and media need to be published together, versioned, and distributed across multiple channels.

An example illustrates the distinction: The specification "Power: 1,500 watts" belongs in the PIM. The product photo showing the device from the correct perspective belongs in the MAM. For a product page in an online shop, both pieces of information must be reliably brought together.

What data does a PIM system manage?

PIM stands for Product Information Management. The system consolidates information that describes products and is required for sales, marketing, or trading partners. This includes, among other things:

  • technical specifications and dimensions,
  • product families, variants, and order numbers,
  • marketing copy and value propositions,
  • translations,
  • classifications such as ECLASS or ETIM,
  • channel-specific information,
  • relationships between products, accessories, and spare parts.

A PIM thus creates a reliable data foundation for websites, shops, print catalogs, data sheets, dealer portals, or electronic catalogs. It answers the question: Which information applies to which product, in which language, and for which channel?

What content does a MAM system manage?

MAM stands for Media Asset Management. The term DAM, or Digital Asset Management, is also frequently used. Both terms overlap significantly; MAM usually emphasizes the operational management and use of media files.

A MAM manages, for example:

  • product images and cut-outs,
  • videos and animations,
  • technical drawings,
  • assembly and operating instructions,
  • Safety data sheets,
  • Certificates,
  • Logos, presentations, and campaign materials.

The system stores metadata for every file: file type, format, resolution, language, usage rights, approval status, or validity period. It answers the question: Which file is current, approved, and suitable for the intended use?

When is a PIM sufficient without a MAM?

A standalone MAM is not strictly necessary if you only have a few product images and documents, they are rarely updated, and there are no complex rights or approval processes. In such cases, a simple media function within the PIM may be enough.

However, this solution quickly reaches its limits. A mechanical engineering company with 8,000 variants, multiple image perspectives, 15 language versions of manuals, and country-specific certificates is no longer managing "a few files." Without clear versioning, the wrong manual ends up in the download area or an outdated product image appears in the catalog. This is more than just a minor flaw; it impacts service costs, liability risks, and brand quality.

When do companies need both PIM and MAM?

The combination is particularly worthwhile if at least several of the following conditions apply:

  • Many products have multiple images, documents, or language variants.
  • Websites, shops, print materials, and retailers require different media formats.
  • Media must go through approval workflows or are subject to usage rights.
  • An asset belongs to multiple products or product variants.
  • Product data and media need to be published together.
  • Changes must be traceable and distributed automatically.

The decisive factor is not whether PIM and MAM are operated as two separate products or as an integrated platform. What matters is the connection. The system must clearly know which media belongs to which product, market, channel, and validity period.

Integrated platform or two specialized systems?

An integrated PIM/MAM platform reduces interfaces and simplifies the data model, permissions, and output processes. This is often the right choice when product communication is the primary use case.

Two separate systems may be appropriate if an enterprise-wide DAM for brand, campaign, and corporate media already exists. In that case, a robust integration is required. Three questions are more important here than a long list of features:

  • Which system manages the mapping between product and media?
  • How do changes and approvals reach the output channels?
  • What happens when a file is locked, replaced, or deleted?

If these questions remain unanswered during system selection, the interface will become a permanent construction site.

How PIM and MAM work together in practice

A typical workflow looks like this:

  • The ERP provides order numbers and commercial master data.
  • The PIM adds technical specifications, copy, variants, and translations.
  • The MAM manages images, drawings, and documents.
  • Products and media are linked based on defined rules.
  • Websites, shops, catalogs, and data sheets receive approved content in the appropriate format.

This creates more than just a central repository; it creates a controlled publishing process.

Frequently asked questions about PIM and MAM

Is DAM the same as MAM?

The terms are often used synonymously. DAM is the broader term for digital assets. MAM places greater emphasis on the management and operational use of media content. For system selection, specific functionality is more important than the label.

Can a PIM store images?

Yes. Many PIM systems have media capabilities. Whether these are sufficient for complex requirements depends on versioning, metadata, derivatives, permissions, approvals, and automated output.

Can a MAM replace a PIM?

No. A MAM manages files and their metadata, but generally not complex product models with variants, technical specifications, classifications, and channel-specific product copy.

Which is more important: PIM or MAM?

That depends on where the bottleneck is. If product specifications and copy are incomplete or inconsistent, the bottleneck is in the PIM. If incorrect images, documents, or versions are being published, it is in the MAM. In industrial product communication, both problems are often linked.
