PIM in technical trade: Mastering supplier data, ETIM, and BMEcat

A PIM system unifies product data from various supplier sources, verifies its quality, and prepares it for web shops, sales, print, marketplaces, and customer-facing channels. In the technical trade, classifications such as ETIM and exchange formats like BMEcat are key requirements.

The technical trade faces a unique data challenge: it manages not only a vast number of items but also information from a multitude of manufacturers. One supplier provides BMEcat, the next Excel, and a third sends PDFs and image files via download links. Field names, units, product categories, and update cycles all differ. Yet, customers expect consistent search results and reliable technical specifications.

The real bottleneck: heterogeneous supplier data

A typical data set does not arrive ready for publication. Common issues include:

  • different names for the same attribute,
  • values with and without units,
  • missing images or documents,
  • inconsistent classifications,
  • divergent product and variant logic,
  • unclear revision statuses,
  • missing translations,
  • duplicate or non-identifiable items.

When employees manually reconcile these differences in Excel, the workload grows with every new supplier and channel. The decisive value of a PIM system is therefore not just storage. It lies in import, mapping, validation, enrichment, and controlled distribution.

How the data flow in the technical trade should look

A robust process separates five tasks:

  • Data acquisition: Importing supplier data in an automated or controlled manner.
  • Normalization: Standardizing field names, units, values, and structures.
  • Classification: Assign products to internal product groups and external standards.
  • Enrichment: Add texts, media, search terms, relationships, and channel-specific information.
  • Output: Provide data tailored for shops, customers, platforms, print, or sales.

The PIM acts as the central hub. ERP data such as prices and stock levels can continue to originate from the ERP and be merged with product information in the target channel.

ETIM, ECLASS, and BMEcat: What’s what?

These terms are often confused in projects.

ETIM

Purpose: Classification and standardized features for technical product groups, particularly relevant in electrical, HVAC, and related sectors.

ECLASS

Purpose: Cross-industry classification for products and services, frequently used in industrial procurement and mechanical engineering.

BMEcat

Purpose: XML-based exchange format for electronic product catalogs.

In short: ETIM and ECLASS define how products are technically categorized and assigned attributes. BMEcat transports product and catalog data between companies and systems.

A BMEcat export does not automatically guarantee a high-quality dataset. If classification, mandatory fields, images, or values are missing, you are simply delivering a structured format with insufficient content.

Why an internal product structure is still necessary

Trading partners and customers may require different classifications or versions. Therefore, a merchant should not completely replace their internal product group and product type logic with ETIM or ECLASS.

It makes sense to keep them separate:

  • internal product types control maintenance, search, and inheritance,
  • ETIM or ECLASS are used for standardized exchange,
  • shop categories form the customer navigation,
  • customer-specific mappings serve special recipients.

A product can be assigned to multiple structures. This prevents an external standard change from disrupting the entire internal navigation or maintenance organization.

Establish supplier onboarding as a repeatable process

The first supplier is a project. The twentieth should no longer be one.

A standardized onboarding process includes:

  • clear minimum requirements for identifiers, attributes, and media,
  • a documented mapping from the supplier format to the internal data model,
  • automatic checks for mandatory fields and values,
  • error reports that the supplier or the internal team can process,
  • defined rules for updates and deletions,
  • an approval step before publication.

Without this process, every new supplier becomes a custom solution. Then, effort and error rates rise faster than the product range.

What are the economic effects?

The benefits are evident in several areas:

Faster product range integration

New products reach the shop and sales channels faster because data does not have to be manually restructured every time.

Better search and filtering

Standardized attributes enable technical filtering. Customers can search by dimensions, material, performance, or connection type instead of having to guess product names.

Fewer inquiries and incorrect orders

Complete attributes, compatible accessory relationships, and up-to-date documents reduce uncertainty. The exact impact depends on the product range and previous data quality and should be measured during the project.

Scalable customer outputs

Key accounts demand their own product ranges, prices, classifications, or formats. A PIM can prepare such outputs based on rules instead of manually assembling a new Excel file every time.

What a PIM must be able to do for technical trade

Pay special attention to:

  • flexible supplier imports,
  • mapping and normalization,
  • bulk editing and rule-based enrichment,
  • multiple parallel classifications,
  • variants and packaging units,
  • media and document management,
  • quality rules per channel or recipient,
  • BMEcat as well as industry-specific or customer-specific exports,
  • error logs and repeatable update processes,
  • roles for category management, data maintenance, and approval.

The most beautiful user interface cannot compensate for missing import and export logic. In technical trade, data throughput is what counts.

Frequently asked questions about PIM in technical trade

Is ETIM a file format?

No. ETIM is a classification model. BMEcat is frequently used for the exchange of ETIM-classified data.

Does BMEcat replace a PIM system?

No. BMEcat is an exchange format. A PIM manages, validates, enriches, and distributes the data that can be contained in a BMEcat catalog.

Can supplier data be imported automatically?

Yes, provided that formats, identifiers, mapping, and quality rules are defined. However, fully automatic does not mean unchecked. Faulty source data remains faulty if no validation is in place.

Does a retailer need an additional MAM or DAM?

If you have many product images, documents, language versions, and usage rights, an integrated or connected media management system is advisable. The product and the approved media must remain clearly linked.
